Overview

The role is to review, develop, define and lead change in facilities within retail and our wider business. Ensuring we are compliant and safe in all stores and sites globally.

You will be managing all maintenance, utilities, SECR, and be the competent person for H&S matters across the business.

This role line manages 2 heads and is based in our new London Victoria Office 3 days a week


What you'll be doing

Reactive & Planned Maintenance.

  • Managing the process from end to end, developing job logging and reporting output ensuring suitability meeting business requirements
  • Liaise with all stores and third parties to ensure all works are carried out effectively and in a timely manner.
  • Introduce a system for the new office maintenance approach.
  • Communication of the maintenance status is clear to all stakeholders and customers
  • Maintaining and developing relationships with new and existing suppliers
  • Running regular tender process for all maintenance contracts to ensure economical and effective solution for the business.
  • Reporting- captures all cost incurred and builds dashboards to report back the business on a regular basis.
  • Controls and reports spend against budget and gains the required approvals.
  • Having an out of hours maintenance process available,
  • Co-ordination and management of any business Planned Maintenance and small works projects.
  • Modernise reporting, logging and managing of jobs
  • Aware of systems to manage this process and having implemented in a business would be advantageous

Statutory Maintenance Compliance.

  • Ensuring that all statutory maintenance is completed, and the business is compliant with the legal time frames.
  • Maintenance of compliance files and records ensuring stores globally are able to access current certification and reports.
  • Health and Safety Compliance- Ensuring all required works are completed in-line with timeframes set in HSA’s and FRA’s.

Utilities

  • Maintains an accurate list of utility providers for all of our estate globally.
  • Produces relevant accurate reporting to cascade to retail leaders globally.
  • Working closely with operations and our utility broker to ensure all new and existing sites have contract in place upon opening.
  • All new stores have contracts in place and meters installed, any closed stores have final meter readings taken and accounts closed.
  • Look at ways to reduce spend on utilities across the business by introducing various initiatives, LED, Hot spot reporting etc
  • Supports ESG initiatives to reduce usage and cost
  • Owns energy SECR reporting across the estate for retail
  • Advise on ESG/Eco targets for customers and provide any necessary consultation for the install of self-generation equipment.
  • Provide reports for the business where necessary (consumption, ESOS, SECR data requirements)

Health & Safety

  • Identify business legal requirements for HS & FR actions; ensuring all required works are completed in-line with timeframes set in HSA/FRA’s.
  • Understand and document risk areas for the business that need addressing for legal compliance.
  • Responsible for managing the stakeholder relations of H&S provider including competent person support
  • Act as the Competent Person for all health and safety matters across MW identifying and responding to current legal and best practice requirements.
  • Identifying and Manage Risk within mountain warehouses Business where exposed
  • Set the strategic direction for effective health and safety management
  • Support wider facilities function globally
  • Responsible to maintain H&S across head office
  • Liaises with 3rd party H&S provider and external agencies where appropriate or needed

Budgets

  • Approvals up to agreed thresholds; submitted timely and challenges where appropriate. Ensures we retain within budget.
  • Works with the Head of Retail Operations to produce annual budget
  • Manages all invoice approvals in a detailed and timely manner
